Description:
This is a highly important clerical position involving responsibility for independently performing complex clerical operations and administrative support tasks in the Special Education Office A substantial amount of time is spent operating a computer and doing routine administrative tasks to ensure the efficient workflow of the office. The work involves responsibility for the entry and retrieval of information using software on a computer and using a computer to produce printed material. Work is performed under supervision of the Director of Special Education in accordance with outlined policies and procedures. Technical or policy issues are referred to the Director for decision or review of judgment where recommendations are initiated.
Responsibilities:
Some examples of position responsibilities include, but are not limited to, the following:
- Knowledge of IEP and special education process is preferred.
- Experience with Frontline preferred.
- Prepares correspondence, documents, budgets records and other written material in final or draft form using computer software from handwritten, rough draft, marked copy, oral recordings, or data from various equipment as the source material.
- Transcribes correspondence from dictation equipment.
- Composes and prepares correspondence on matters where policies and procedures are well defined.
- Maintains and updates databases/spreadsheet records on a personal computer.
- Screens callers or visitors to determine the nature of the inquiry; refers callers to appropriate party or office and answers inquiries as appropriate.
- Establishes and maintains confidential and general office files.
- Checks, codes and processes requisitions, claims and bills.
- Receives, sorts and distributes incoming mail.
- Orders supplies and materials
- Collects and gathers information to be used as a basis for reports and memoranda and prepares summaries.
- Answers telephone and gives out information.
- Prepares and maintains financial, statistical and personnel records
