Description:

This is a highly important clerical position involving responsibility for independently performing complex clerical operations and administrative support tasks in the Special Education Office  A substantial amount of time is spent operating a computer and doing routine administrative tasks to ensure the efficient workflow of the office.  The work involves responsibility for the entry and retrieval of information using software on a computer and using a computer to produce printed material.  Work is performed under supervision of the Director of Special Education in accordance with outlined policies and procedures.  Technical or policy issues are referred to the Director for decision or review of judgment where recommendations are initiated. 

Responsibilities:

Some examples of position responsibilities include, but are not limited to, the following:

  1. Knowledge of IEP and special education process is preferred.
  2. Experience with Frontline preferred.
  3. Prepares correspondence, documents, budgets records and other written material in final or draft form using computer software from handwritten, rough draft, marked copy, oral recordings, or data from various equipment as the source material.
  4. Transcribes correspondence from dictation equipment.
  5. Composes and prepares correspondence on matters where policies and procedures are well defined.
  6. Maintains and updates databases/spreadsheet records on a personal computer.
  7. Screens callers or visitors to determine the nature of the inquiry; refers callers to appropriate party or office and answers inquiries as appropriate.
  8. Establishes and maintains confidential and general office files.
  9. Checks, codes and processes requisitions, claims and bills.
  10. Receives, sorts and distributes incoming mail.
  11. Orders supplies and materials
  12. Collects and gathers information to be used as a basis for reports and memoranda and prepares summaries.
  13. Answers telephone and gives out information.
  14. Prepares and maintains financial, statistical and personnel records

Job Qualifications

Qualifications:

This is a competitive Civil Service position which requires the applicant to be on a current Civil Service List for School Secretary, or be able to complete the required examination.  Applicants must be high school graduates with three years of successful clerical experience involving the operation of a computer for word processing, database or spreadsheet applications or have an Associate Degree in secretarial science or a closely related field and one year of successful clerical experience involving the operation of a computer for word processing, database or spreadsheet applications.

Required Knowledge, Skills and Abilities:

  • Takes and transcribes dictation of letters, memoranda, reports and other materials.
  • Answers telephone and acts as receptionist giving out routine information.
  • Types records, reports and checks for clerical accuracy, completeness and proper extension.
  • Operates office machines.
  • Thorough knowledge of modern office terminology, procedures and equipment.
  • Ability to handle routine administrative details independently.
  • Ability to operate personal computer and utilize common office software programs including word processing, spreadsheets and databases at an acceptable rate of accuracy and speed.
  • Ability to prepare and maintain program records and routine reports.
  • Ability to communicate effectively both orally and in writing.
  • Ability to establish and maintain effective working relationships with others.
  • Ability to organize and maintain office files.
  • Ability to collect information from various sources for program operations;
  • Accuracy.
  • Tact and courtesy.
  • Physical condition commensurate to perform the essential functions of the job, with or without reasonable accommodations.
